What personal data do we collect from you?
Personal data means any information which we may use to identify you or your business, such as name, contact details and payment information. We collect and store this information when you create an account, make a purchase or contact us through our email address or social media accounts. Unless defined in this policy or unless you give us permission to do so, we will not use or share your personal data other than as specified in this policy.
Where is your data stored?
All of the information provided to us is stored on our secure servers or on secure servers operated and managed by a third party. We take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.
How do we collect your personal data?
When you request a trade account with us or contract us to supply hired linen and or services, we’ll set up an account for you to process laundry, your orders and or linen hire contract. While setting up a credit trade account we’ll collect information from you in terms of personal name, trading name or limited company, contact telephone numbers, Email addresses, trading addresses and billing information. While operating your account we record all laundry orders or hired linen sent in and will track these through the laundry process to dispatch and ultimately redelivery.
What is your data used for?
All of the personal or company data we collect is necessary in order to fulfil our contract with you to provide a laundry service; the legal basis for such processing of this data can be found in Art.6(1)(b) GDPR. Without such information we will not be able process any order-related communications or fulfil your order/hire contract.
Your name, company and contact information:
To be able to fulfil your order request, ie take payments and update you with the status of any order sent in, ie short or overs order on laundry cards. We may need to contact you in the event of any issue with your laundry order, hire delivery/collection or payment of the account.
Your payment details:
You are able to settle your account by credit card or debit card – Empire Linen Services Limited will never store this data. Card details are securely registered with Barclaycard Payment Solutions so payments are securely processed through merchant services. During payment processing, your billing address, delivery address and the first eight digits of your payment card number maybe used (if one is being used) to process the relevant payment to the card provider for payment verification.
Invoice Factoring
Empire Laundry use Bibby Financial Services to factor invoices each month. During payment processing, your individual name, company, billing address, delivery address and invoice details maybe used to process the relevant invoice to Bibby Financial Services for payment.
Your previous order details:
To be able to provide you with retrospective information relating to previous orders, including the delivery date and address to which these were sent, we store this information for customer services and accounts to access.
Who do we share your data with and why?
As part of our contract with you, we are required to pass on certain information to third parties, known as data processors. We will only pass across any information which is necessary for the third party to perform their services on our behalf and no more. The processing of this information will be in line with the third parties privacy policy. The companies that may receive your information are listed below:
– Lloyds Cardnet – (Card Payment processing)
– Bibby Financial Services – (Invoice Factoring)
Your rights under GDPR
Right to be informed. This privacy policy has been set up to provide any details and information about how we store your personal data. We will update this and notify you should any data process change.
Right of Access
If you wish to receive a copy of the personal data which is stored, you may contact us to request this and this will be sent to you via email
Right to Correction
If you believe any of the information we are storing is incorrect or incomplete, you have the right to notify us of this in which case we will update this as soon as possible
Right to Delete
If you wish us to remove your personal data then you may contact us to request this. Please note that this will mean that we will no longer be able to store any of your previous order details. We will remove the data as far as practical however will store any data which we are legally obliged to keep in terms of accounting.
Right to Object
If you no longer wish us to process your data, ie by contacting you about our services, you can contact us.
How long will we store your information?
We store your personal data and other information for as long as necessary in order for you to get the full use and benefits of our services. If you have a question relating to the retention period or wish for us to delete your data, please contact us using the details provided above. In some circumstances, such as to meet legal or regulatory obligations, resolve disputes, prevent fraud and abuse, or enforce our terms and conditions, we may hold on to your personal information after we’ve finished providing services to you.

Our Privacy Policy may change from time to time and any changes to the statement will be communicated to you by way of an email or a notice on our website.
